Terms and Conditions

DEPOSIT

A non-refundable deposit is required to confirm the booking and is requested within 14 days of any tentative booking, or the acceptance of the quote, referenced by the initial viewing date. The Terms and Conditions are to be signed by the Patron and management of The Madison Function Centre to complete the booking process. The management of The Madison Function Centre reserves the right to cancel any booking where the deposit and signing of terms and conditions is not done within 14 days. All credit card payments incur a fee of 1.5%

EXTERNAL SUPPLIERS BOOKINGS/ IN HOUSE SERVICES

In the event that there are any advance bookings made by the management of The Madison Function Centre on behalf of the Patron, if these are cancelled either as part of a total cancellation or due to changes in arrangements required by the Patron, a charge will be payable by the Patron which shall cover all The Madison associated costs. All in-house services are non-transferable and include DJ, MC, Cake, and in-house table centrepieces.

PAYMENT

50% of the balance must be made 1 month prior to the event with the remaining balance due 10 working days prior to the function date. All credit card payments incur a fee of 1.5%

MENU SELECTION

The Patron is to confirm the menu selection in writing 2 weeks prior to the event.

SECURITY

All functions are charged an additional fee of $250 for security where there are less than 100 guests. For more than 100 guests this fee increases to $500.00. 18th and 21st birthdays will require a minimum of 2 security guards. A security deposit of $1,000.00 is required where there are 10 children or more. A security deposit of $1,000 is also required for school formals, 18th birthday parties, 21st birthday celebrations, Christenings, and Holy Communions. Security deposits will be paid in cash and returned post function, in the same manner, providing there are no damages. Any monies withheld will be justified.

INSURANCE

The management of The Madison Function Centre will take all reasonable care, but accepts no responsibility for any loss of personal material, or damage to merchandise or other property in the function centre prior to, during or after functions.

ALCOHOL

Alcohol may not be brought into the function centre. By law, it is illegal to remove alcohol from the venue.

DELIVERY AND COLLECTION OF GOODS

All goods to be delivered must be organised with your Event Co-ordinator as to suitable drop off times. The Venue will accept delivery of goods one day prior to the function i.e. bonbonniere and/or place cards. All goods are to be delivered between 10.00am and 4.00pm Monday to Friday with explicit confirmation and prior arrangement with your event Co-ordinator. All goods must be removed on the completion of the function unless prior arrangements have been made with the Venue. The Venue will not accept responsibility for any items delivered or left for collection.

SELF CATERED FUNCTIONS

All self-catered functions agree to pay a cleaning fee of $500.00 where the kitchen is not left in a satisfactory condition.

CANCELLATIONS

Payment of a deposit denotes acceptance of our terms and conditions. If the Patron cancels the confirmed booking for any reason The Madison will retain the full deposit. If a cancellation is made within 12 months of the confirmed booking, The Madison will retain any monies paid. Payment of a deposit denotes acceptance of our terms and conditions. Should the event be cancelled within 6 months of the booked date, a cancellation fee of 25% of the total amount based on minimum numbers will be payable. All cancellations must be confirmed in writing by the Patron to be effective. Deposits are non transferable.

PRICE VARIATION

The management of The Madison Function Centre reserves the right to amend or change the pricing in the event of cost changes beyond their control, whilst making every effort to honour the original agreed price. Any cost increases will be fully justified in writing.

FINAL NUMBERS

Final numbers shall be confirmed at the time of final payment. After this they may be increased but not decreased by the Patron in the days prior to the event. Minimum number of guests apply on all packages. No refunds will be made if the actual numbers are less than the final numbers.

TIMING

The Patron agrees to begin the function at the scheduled time and agrees to have the guests, invitees and other persons vacate the designated function areas at the agreed completion time. A labour and service charge is applicable for the function continuing after the agreed completion time at $1000.00 per hour or part thereof.

PUBLIC LIABILITY NOTICE

All external suppliers and their staff whether engaged on behalf of, or directly by, the Patron must be covered by public liability insurance including, but not limited to caterers, live bands, entertainers, flower decorators, musicians, cake suppliers, staging coordinators, car hire, photographers and video-graphers. All electrical equipment must be tagged and tested.

DAMAGE OR LOSS

The Patron is financially liable for any damage sustained, or loss incurred, to the function centre’s property, fixtures or fittings, whether through their own action or through the action of their guests, contractors or sub contractors.

EXTERNAL FOOD SUPPLIES

The Madison accepts no responsibility for any food items brought in by the client or suppliers associated with the client. eg, Confectionary, cakes, etc:

MARKETING AND ADVERTISING

Unless advised otherwise the venue may use any photo’s, video or DVD images taken by the venue of any event for marketing or advertising purposes.
